What we store, and what we never do.
Last updated September 2026Brokbase is a workspace for real-estate brokers and agencies in the United Arab Emirates. A company connects the chats its brokers already use and gets an archive, property cards and a CRM built from them. This page says plainly what that involves.
What we store
- Messages from connected chats. Text, voice notes, documents and photos received in the WhatsApp groups and chats a company chooses to connect. Each message is kept with its source so a fact can always be traced back.
- What we derive from them. Transcripts of voice notes and property cards extracted from brochures and price lists, each fact linked to the page it came from.
- Contacts a broker imports. Names and phone numbers from a file or from the broker's own WhatsApp, only when the broker starts the import.
- Facts from the broker's own chats, by consent. If a broker agrees to it (asked once, in the import window or in Settings; withdrawable at any time in Settings), the recent part of their WhatsApp chat with each of their own leads that has a phone number — new or in progress, however the lead was created — is reread regularly. Only facts are kept — what the contact is looking for, budget, area, stage and who wrote last. The messages themselves are not stored.
- Account records. The people in a company, their roles, and the phone number used to sign in.
What we never do
- We never message clients without the broker's approval. Brokbase can send messages and property selections through the broker's connected WhatsApp after the broker approves a send or an automated campaign. In manual mode, the broker sends the message.
- Companies never see each other. Every company's data sits behind its own wall in the database, enforced at the database level, not only in the application.
- We do not sell data and we do not use your messages to train models.
Where it lives
Data is stored on servers in the United Arab Emirates (Microsoft Azure, UAE North). To transcribe voice notes and read documents we send that content to AI providers, and only for that purpose; we do not use your messages to train models. Chat messages are never cached across companies; identical documents are the only thing reused.
How long
For as long as the company's account is active. A company owner can disconnect a chat at any time, and an imported address-book snapshot is removed thirty days after the broker disconnects their WhatsApp.
Deleting the company
A company owner can delete the company in Settings. We ask for the company's name in writing, and from that moment everyone in the company sees the date the deletion will run; the owner can call it off until that date arrives. Connected WhatsApp devices are disconnected as soon as the request is made.
Seven days after the request everything the company holds is erased: messages and their attachments, transcripts and property cards, leads, clients and deals, the people of the company and the details they signed in with. What is left is a service record that a company existed under that identifier and when it was deleted — no names, no phone numbers, nothing from the chats. Backups roll off on their own schedule, and the last copy of a deleted company is gone within sixty days.
Who can see what
Inside a company, what a person sees follows their role: owner, sales head, admin or broker. Brokbase staff access production data only to run and repair the service.
