How to organise WhatsApp leads as a real estate agent
Blog · Brokbase team · 15 September 2026 · 6 min readMost Dubai brokers get most of their leads in WhatsApp and lose a third of them there. Not to competitors: to the scroll. Here is a method that works with or without software, and what to automate once you have some.
1. One number for work, and it is a Business account
Personal and work chats in one list is how leads drown. A WhatsApp Business number gives you labels, quick replies and a catalogue, and it lets a CRM read the account without touching your personal one. If you must keep one number, at least keep every client in a labelled chat.
2. Labels are statuses, not folders
Use four labels and mean them: New (wrote, not yet understood), Contacted (you replied and asked the qualifying questions), Qualified (budget, bedrooms, area and timing are known), Lost. Everything else is a client or a deal, which is a different list. A label you do not act on is a folder, and folders are where leads go to die.
3. The reply-time rule
Reply to a new lead within fifteen minutes during the day, with a question, not a brochure. "Two or three bedrooms, and is this for living or investment?" moves the conversation; a PDF ends it. Send the brochure after the answer, and send the one that matches.
4. Make the record the moment the lead appears
Name, phone, what they asked, where they came from, in the first minute. Not at the end of the day. If your CRM can read the chat, this step disappears; if it cannot, keep a note in the chat itself with a fixed format so you can search it later.
5. Groups are a source, not a workspace
Developer and partner groups deliver brochures and price lists, and sometimes a lead a colleague cannot serve. Read them for documents; never run a client conversation in a group. When a lead is handed over, do it with a message that names the broker and moves the history.
What to automate, and what never to
- Automate: filing (who wrote, when, from where), archiving documents, reminders, the morning list of who to call.
- Assist: drafting the answer, finding the matching brochure, summarising a long thread.
- Never automate: sending. A bot that replies to a client is a broker who is not there. Every message a client receives should be one a person chose to send.
That split is how Brokbase is built: it reads the connected chats and files everything, the assistant prepares answers with the brochure, and the broker confirms before anything leaves the account.
Questions people ask
Is it allowed to connect WhatsApp to a CRM?
Connecting your own account the way WhatsApp Web does is standard practice; what matters is that clients are told how their data is handled and that nothing is sent without a person's decision. See our privacy policy for how Brokbase does it.
How fast should I answer a lead?
Within fifteen minutes in working hours. After that the lead has usually written to two more brokers.
